KB-000289: My sound files are not embedding in my PowerPoint file. What could be the cause?

This is due to a setting in PowerPoint whereby it restricts the size of embedded audio files.

PowerPoint 2004 and earlier: To adjust maximum embedded sound file size

  1. Open PowerPoint and
    Windows: Click the Tools menu, then Options.
    Mac: Click on the PowerPoint menu, then Preferences.
  2. On the General tab, change the "Link sounds with file size greater than..." setting from 100 KB to 50000 KB (largest setting permitted). 

 

This will embed your sounds that are under 50MB into the PowerPoint presentation, instead of linking them.



PowerPoint 2007: To adjust maximum embedded sound file size

  1. Open the PowerPoint file in Normal view, click the sound icon  on the slide that you want to determine the linked or embedded status for.
  2. Under Sound Tools, on the Options tab, in the Sound Options group,  change the Max Sound File Size (KB)setting to 50000 (largest setting permitted).



    This will embed your sounds that are under 50MB into the PowerPoint presentation, instead of linking them.

  3. If you want to verify if the file is embedded follow the above steps but click the Dialog Box Launcher .
  4. This will launch the Sound Options dialog box:


  5. Under Information, next to File:, you see either [Contained in presentation] (meaning that the sound is embedded) or the path to the sound (meaning that the sound is linked).
